Post # 4; Reflection on meeting 1

My first project meeting was held briefly just now at 6pm at com1/basement. My group members involved were Cornelius and Duc. In my opinion, I think our team did fairly okay on the meeting.

At the start of the meeting, we define our goals clearly. We had an agenda. The whole meeting was do discuss on which programming classes to use, update each other on the progress made individually and lastly decide on the next meetings. Our agenda was used as a guideline for our meeting. I realize that an agenda is important in meetings as it sets a checklist for what our team wish to achieve after the meeting.

I will comment on the indiviual performances.

Duc was a good team leader as he doesn't demonstrate arrogance and is not demanding. He is more concerned on the project and throughout the meeting, he is very concerned on every minute details of the project. He is a good leader who focuses well on the weaker parts of the project.

Cornelius is an easy going person who engages well in the group. He agrees to accept his workload and assume responsibility on his part of the project. He have trust and good support over the project and respected the team.

There are however certain improvements that could be made in our meeting. I notice that myself and Cornelius were quite tired on that day. This is because we had a long day today and wasn't concentrating fully especially for my part. Perhaps, it would be wiser to choose a better time to conduct a meeting.

We also forgot to take minutes during the meeting, something important in every meeting. As a result, we had to go home and reflect individually on what we have contributed just now and submit our minutes separately to the secretary.

Towards the end, we exchange email, added each other on msn and proposed the next meeting next Friday. Reflecting on our mistake done just now, I hope to prevent it on our next meeting.

    I also think that our meeting was good, thanks to the agenda. Overall, we finished our design of the project and come to the specification parts. Of course, we still need more time to figure out some parts inside the functionality classes.

    I also noticed in the meeting that you and Cornelius were quite tired. Maybe in the next meeting, we should think more carefully about the meeting schedule. And also don't forget to take note the minutes.

    Well, I would say that forgetting to take notes during the meeting is quite a large mistake! I can’t believe everyone forgot about it. Luckily, you guys had the video to help recall what went on during the meeting.

    Personally, I think that it’s very important to take down the minutes during the meeting. The meeting minutes helps everyone in the team to stay on the same page. Some people might be absent and could rely on the minutes to stay up to date. The minutes also clarify doubts. For example, person A might recall that something is to be done in a certain way. Person B might have misheard it as to be done using another method. With the minutes, this kind of confusion can be prevented.

    I agree that you guys should have chosen a better timing for the meeting. I think it would be better to choose an earlier meeting time when everyone would not be as tired.

    I hope you remember to take down the minutes of your next meeting! :)

  3. Dear Ferrino,

    As Russell said, forgetting to note down the minutes was quite a fundamental mistake. Just imagine what a chaos it would have been if we had not taken minutes during our meeting for CELC project. Amidst the tonnes of ideas we had for each question, we would have had a hard time remembering which idea we finalised on.

    It is always a good idea to keep such important meetings before lunch time so that the members are not tired from the day’s work. Even our meeting was in evening and during the meeting, we realised that it was not the best time to have it.

    It is good that you had a clear agenda and follow up plan for your meeting. That is one thing our group missed on.

    It is true that having a clear agenda is necessary for every meeting. Without it, you may not be well-prepared and may forget something during the meeting.

    I agree with Russell and Anuj that the minutes is every important, not only for the absent but for the people attending the meeting as well. For those who were absent, they can understand what have been done in the meeting. For those who attended, it helps to recall the process of the meeting. Therefore, before the meeting, we should always choose at least one person who is responsible for writing down the minutes.

    I think your group must be more careful when selecting the time for future meeting because it will strongly affect individual performances. Our group meeting was also held at 6pm. However, our timetable is quite free on Wednesday so we had had time to prepare and no one seemed to be tired. The meeting finished quite shortly but successfully.

  5. Hi Ferrino,
    It is the first time I read your post and found it clear and concise. You have described your meeting well. One thing I really like in your post is that you have written a personal statement about your group mates by giving a reflection on their behavior.
    To miss writing the minutes during a meeting is a big fiasco! I realize it must have been a tough time remembering the details later. It would have surely taught you a good lesson for your future meetings.

    From what you wrote, I think you must have done pretty well in the meeting. However, taking down minute is indeed an extremely important part in a meeting, because it is the way to review and reflect on the meeting, and most importantly the way in which record the outcome of the meeting in black and write. Forget to take down the meeting minute may cause difficulties in executing the meeting’s decision and in planning for the next meeting. Therefore I think you won’t just hope to prevent it in your next meeting but you will be very determined to prevent it in your future meetings.

    I also noticed that you have made two individual comments on each of your teammates. This shows that you know each other quite well and you relationships are fairly good, which is very important in teamwork. It is very nice to have such open atmosphere in a team and I hope you can keep it up.
